Don’t we all just love to be entertained? There is nothing nicer than looking forward to going to the opera or attending a musical performance. We live in exciting times, as there are so many functions for us to participate in, that it can be difficult choosing what to attend and it can certainly be hard containing our spending habits.
A lot of entertainment can be quite expensive and most times we don’t realise how much a night out actually costs us. You not only have the cost of the event, but usually these sort of social outings cost us money in other ways such as taxis, drinks, clothes etc.
The best way to control the money that you do spend on entertainment is to set yourself a quarterly / yearly entertainment allowance. Below are some clues to help you do this.
1. Work out what you would like to do over the next quarter / year:
- Visit galleries / exhibitions
- Attend concerts / musical performances
- Watch opera / ballet / dance
- Attend pantomimes / theatre / shows / plays / musicals
- Attend film festivals
- Participate in balls / charity events
- Go to circus shows / live performances / comedy shows
2. Estimate how much the tickets / entrance fares are going to cost you.
3. Spend time working out the ‘hidden extras’ so you know the full cost of the function / event. There are often costs to consider such as:
- Buying / hiring attire – formal / semi-formal outfits
- Attending the hairdresser / make up artist
- Paying for accommodation / flights
- Hiring a car / paying for taxis / parking fees
- Eating out / drinks
4. Tally up the whole cost of your entertainment. Look at your budget and ensure your quarterly / yearly entertainment allowance will fit in with your overall budget. Remember entertainment is a “want” and not a “need”. You have other priorities and financial commitments in your budget to allow you to meet your “needs”. These must be met before deciding where else you “want” to spend your money.
5. If your quarterly / yearly entertainment allowance is above what you have available in your budget, look for some alternatives:
- Buy a cheaper class of ticket e.g. B reserve instead of A reserve
- Go to a matinee showing instead of a night showing
- Find an outfit in your existing wardrobe instead of buying / hiring an outfit
- Get a friend / family member to do your hair / make up
- Eat before going out
- Drink water / juice / soft drinks instead of alcohol
- Attend events locally to save on airfares / accommodation / car hire
- Drive to avoid taxi fares
- Cut the number of events you expect to attend
- Find a cheaper option e.g. go to a local theatre to see a show, rather than a big performance centre
6. Find a way of monitoring what you do spend over the quarter / year. Use a software programme to record all of your costs for entertainment throughout the quarter / year. The programme should record how much you have spent and how much you still have left to spend. This will ensure you stay within your proposed budget.
Entertainment need to be looked upon as a treat. We have mentioned earlier that entertainment is a “want” and not a “need”. The functions and events you attend should be looked upon as special times in your life that you can really look forward to. If you don’t consider them as a specialty / treat, then attending such events will become the normal. You will think of these activities as “must haves” instead of “nice to haves”. You will expect to go to them on a regular basis and you will find you spend lots and lots of money satisfying your wishes.
Your money can only go so far. I am sure there are a lot of important things in your life that you are trying to achieve. This might be something on your wish list to buy, a holiday you want to go on, someone you wish to help financially etc. So, see if you can make a bit of a sacrifice with what you spend on your entertainment and start limiting what you spend over a quarter / year. You don’t need to cut entertainment out completely. You still need to have fun and look forward to special times, but ensure you do so whilst giving yourself an opportunity to meet your other goals and wishes.

Before we look into different types of entertainment, first let’s define what entertainment is. Entertainment is any kind of activity that provides amusement for people in a passive way, other entertaining activities that involve participating are considered recreation or hobbies.
There are many types of entertainment for particular tastes, for example we have cinema, theatre, sports, games, social dance, concert, comedy shows, animations, impressionists, clowns and the list goes on and on.
These form of entertainment can than be divided into groups according to the age and interest of the people being entertained. For instance we have child , adult , live action , public and corporate entertainment. In this article we’ll give a brief explanation to some of these forms.
Child Entertainment
Kids need to be entertained and some times the entertainer or the entertainment agency needs to find a balance between mental and physical activities. Clowns, puppets, pantomimes and cartoons tend to appeal to children, though adult might find it enjoyable too.
Adult Entertainment
Adult Entertainment many times is related to the sex industry, but this form of entertainment can not be related only with the sex industry and its branches. Adult Entertainment involves things like music concerts, live sports, opera and a hand full of other activities that kids might not find so appealing.
Live Entertainment
This form of entertainment is broadened to all ages as there are a variety of activities that can labelled as live entertainment. For instance music concerts, live TV shows, live sports, theatres and any other activity that you could think of that is aimed to amuse people.
Public Entertainment
Nowadays probably one of the forms of entertainment that have grown the most, thanks to the economic downturn. How to Organise Your Christmas Party Entertainment and Have a Fun Evening Too
Choosing entertainment for your Christmas party can be a daunting task. You have a group of 100plus people who never socialise with each other, generally only talk to the people they know and spend most of the evening avoiding their boss!
Not a situation that shouts fun!
There is however a simple solution, one that is often overlooked or left until last in the event organising process, entertainment.
After organising entertainment for the last 13 years I can honestly say that entertainment can either make or break a Christmas party and this depends on how much research is done by the organiser.
Here’s a checklist to help you choose the best Christmas party entertainment for your company;
1) Find out the average age of your guests (there’s no point in booking a DJ if you guests are over 50 and will probably leave straight after the meal)
2) Find out the average gender of your guests (if most of your guests are female you probably won’t want Belly Dancers!)
3) Are you guests bringing their partners? (If so you’ll need to make the entertainment more general so having a company quiz is probably out.)
4) Ask you guests what they’d like (it sounds obvious but simply asking your guests what type of entertainment they’d like is sometimes the best way to please the majority)
5) Find out your entertainment budget as early as possible (there’s no point spending hours talking to Christmas party DJ’s, bands, magicians and casinos if you know you’ve only got £100 to spend)
When you get the answers from this checklist you’re ready to start finding your entertainment.
Now comes the second conundrum, do you use an entertainment agent, go directly to the acts or use the entertainment that your venue recommend?
This can completely confuse the average Christmas party organiser.
It’s probably best to only go directly to the act if you’re only having one entertainment act, think of all the stress it’s going to be having three or four acts calling you on the day asking the same questions!
This is where going with an entertainment agent can help, the agent will look after all the acts so you don’t have to and they’ll deal with all those small questions that will just add to your stress!
If your venue does recommend an entertainment agent then it’s probably best to go with this option, they’ve been recommended for a reason and their acts have probably all worked at the venue before so they’ll know how to get in, set up and who to speak to if there are problems.

Drinks Reception Entertainment
This can set the tone for the whole evening, if you’re guests relax and talk to each other then you’re going to relax too! So how do you break the ice?
The best way to do this is with some ‘Walkabout entertainment’ for example a Close Hand Magician or Caricaturist.
Close Hand Magicians are great because they subtly mingle in with your guests, come up to small crowds of people and draw in other guests to watch. This means that by the end of the trick all the guests should be left laughing and commenting ‘how did they do that!’ with someone they don’t really know, in effect breaking the ice.
Caricaturists do the same thing with the added bonus that you’re left with a gift to put above the computer at work.
Entertainment after the main meal
It’s sometimes a fun idea to have a surprise element to your evening and what better way to do it than by having your waiters who have been quietly serving you all night suddenly break into song!
This will delight all your guests, make them laugh and stop people talking shop at the end of the meal.
Main Christmas party entertainment
This is the most exciting party of the entertainment, the main event! Will it be a Christmas party band or a DJ, or if you can afford it, both.
A Christmas party band adds a great live feel and if they’re good, can have the immediate effect of getting every dancing. A DJ will do the same but with the added bonus that they generally play for longer, although it can be a bit cheesier and generally it will take people longer to get up and dance.
Other Christmas party entertainment ideas
Other ideas include Casinos and Belly Dancers which can be great if you have mainly male guests. Henna artists, Butlers in the Buff and Chocolate Fountains are all better for female guests unless everyone is on a diet!
Remember, when you’re guests are leaving the event, the biggest talking point isn’t the food, decorations, venue or the staff, it’s the entertainment.

Live entertainment can take many forms and can be more exciting than other forms of entertainment. When choosing the music for your event, think about the ambience you’re trying to create. Choose a band that are flexible and have a wide range of music genres. For a touch of romance you may want mellow or jazz music to be played during cocktails and meals. To create the upbeat atmosphere to get your guests up and dancing, make sure your live entertainment have a range of dance music to perform in between the meals. In addition some romantic music for the first dance is a must. Decide on the type of band or live entertainment you want, whether it’s male or female vocals you prefer or perhaps a combination of both. An instrumental band would be beautiful during the wedding ceremony.
Your live entertainment needs to be flexible in order to create the different moods of your wedding or event. For many years I have supplied music for and played in bands that provide music for corporate entertainment. Clients have included Audi, The Evening Standard, Sainsburys, P.C. World, Safeways, Large corporate clients at Henley and Ascot, I.T.V. and H.M. Treasury. Because of this experience I felt it would be relevant in putting down some pointers in helping clients choose the right kind of music for their particular corporate entertainment.
Interestingly enough, most corporate hospitality entertainment work tends to require music as an ingredient to a larger recipe. What I mean by this is a great deal of corporate events are offering a multi service package. Typically an organization may be putting on an evenings entertainment to thank its workforce for a particularly successful year. They may be offering music, food, comedy, a close up magician, a casino and a caricaturist. The corporate client organizing needs to decide what part the music has to play in the days/evenings entertainment.
Questions he or she needs to ask are:
Is the music specifically for entertainment or is the music for background listening?
Do we need one style of music early on in the proceedings and then a change of style later in the days/ evenings entertainment?
Do you expect the corporate clients to be networking and discussing business or are they just there for a good time?
What overall atmosphere do you want to project with the event?
Is there going to be a change of location for the music as the entertainment event unfolds?
Different styles of music bands lend themselves to different corporate hospitality situations. Below are a number of typical corporate hospitality events with music suggestions for suitable music entertainment.
Corporate entertainment model 1.
Evening reception with dinner and speeches.
In a situation such as this you will typically need music from the outset as part of the meet and greet of the corporate evening. A four-piece swing or Latin group is ideal with a larger ensemble for particularly large gatherings. A professional outfit can pitch the music at just the right decibel level so your guests can talk and enjoy the entertainment without it encroaching on conversations. The musicians would typically be dressed in Lounge Suits or Tuxedos (or the female equivalent) to mirror what the guests are wearing themselves. The music portrays an atmosphere of sophistication, which again hopefully reflects the evenings overall ambience.
It is rare for corporate clients to want to dance especially as clients there relationship is business not pleasure! In most cases it is more important that the band is flexible in when it is needed over the course of the evening i.e. At the top of the night for the reception, a smaller version of the band (The pianist maybe for the dinner), stopping for speeches and then after the speeches to play until other entertainment is put on for the corporate clients. In this situation give the band a clear idea of how you expect the evening to go. What to wear, when they will be needed, when they need to get their instruments in the building and be set up, when breaks will be required, let them know if it is convenient or not to feed them and then finally how they can leave when finished so as not to disrupt the rest of the entertainment.

Company Party.
Still corporate entertainment, still corporate hospitality but a totally different set of requirements for the music. Ask yourself these questions: Are your work force the type of workforce who will want to dance at some point in the proceedings? If they are, then a professional band with flexibility is essential. My experience is that people of all ages will join together to dance to music from the sixties and seventies. Whatever background music you require earlier in the day/evening be it Latin, Swing, Rat Pack or Lounge, if you are hoping to provide entertainment that will get people dancing remember this fact. Sixties and Seventies. For some inexplicable reason this is the music that gets people up on their feet.
When choosing your music ask the band if they can cover this part of the corporate entertainment requirement. Get samples of their music if need be. There is nothing worse than an ill equipped band struggling through alien repertoire. However good the band is, if they do not play the right repertoire, the right style of music then the corporate entertainment will fall on deaf ears.
Let me at this point provide a caveat. Your workforce work together They are not always going to be the best of friends however professional their relationships are at work. Answer truthfully, will they really want to dance together or is it asking too much? I would say that in all the years of providing music for this kind of corporate entertainment / hospitality , as long as the music is right, the workforce tended to dance 30 or 40% of the time. It could be said that a workforce who will enjoy each others company in this way is a reflection on the talent of senior management to create a happy team!

Company Fun Day.
These come in two types. The type to entertain your own workforce or the type to entertain prospective clients. Both types of corporate entertainment require music that is fun. This means that the music must be perceived as fun and the band must be perceived as fun. In both cases Jolly Dixieland Jazz or the summer sounds of Latin music are most suitable.
Ask yourself these questions: does the band need to be mobile? Meaning do you want the music to move around the site at various points in the proceedings? If so then the jolly jazz route is most suitable. A good professional outfit of four or five players can play acoustically and move around a site as directed.
If the band can be static and close to electrical power then either Jolly Jazz or Latin Music is suitable.
Is the event outdoors or indoors and do you have provision for bad weather? This is England, never trust to luck, assume the worst! Any band that needs power cannot play in the rain for health and safety reasons. At the first hint of inclement weather a band will have to breakdown their equipment. Build this situation into your corporate entertainment music decisions.
How do you want the band to dress? It is a fun day after all! In the past I and my musicians have dressed as Elvis, Cavemen, Circus Clowns, in fact all manner of characters in the name of corporate entertainment and corporate hospitality. Good bands will have suitable outfits for most situations but don`t hesitate in providing something off the wall for a special event. Most professional players have a strange urge to jump into such costumes at the earliest possibility! As someone who has played at a nudist camp and for a toga party, both dressed accordingly, take my word for it!
To draw this article together let me say this. Choose the right kind of music for the event. Brief the band accordingly but make sure you have a professional and flexible outfit, things can change over the course of the event and you want to make sure the band are both co-operative and able to fulfill your needs. Don`t hesitate to ask the band for any special requirements you have. Do it in plenty of time so they have time to prepare.
The corporate entertainment and hospitality you offer to your guests reflects directly onto your company. The music and musicians must be the type who are aware of this. Dont go for second best just to save a small amount of money. You need a well prepared, well dressed band who are both polite and charming to your guests. They need to play the right kind of music for the event in order to help make the day or evenings corporate entertainment a resounding success!

Probably the most common business deductions are meals and entertainment. However, people are often confused about whether the expenses are fully deductible, partially deductible or not deductible at all.
50% Deductible
The general rule for deducting meals and entertainment expense is that 50% of the cost is deductible provided the following requirements are met.
Requirement #1
The expense has to be ordinary and necessary in the trade, business, or profession. In other words, it must be commonly accepted to have this expense and it must be appropriate in the trade or business. For example, business owners routinely have lunch with prospective clients to discuss business with the goal of attracting additional business. This is a common and necessary business expense.
Requirement #2
The expense must be directly related or associated to the active conduct of your business. To meet this requirement, you must engage in a business conversation during, before, or after the entertainment. If the business discussion is only incidental to the entertainment, the entertainment expenses do not qualify.
The 50% limit applies to business meals or entertainment expenses you have while traveling away from home on business, entertaining customers at your place of business, a restaurant, or other location, or attending a business convention or reception, business meeting, or business luncheon at a club.
100% Deductible
As with every general rule, there are exceptions. The following exceptions result in the meal or entertainment expense being fully deductible.
Exception #1
The expense is fully deductible when providing meals, entertainment, or recreational facilities to the general public as a means of advertising or promoting goodwill in the community.
Exception #2
If the meal is provided to employees as a convenience to the employer on the business premises and is furnished to more than half of the employees, then the expense is fully deductible.
Exception #3
A company holiday party expense is an exception to the general rule and is fully deductible.
Non-Deductible Expenses
Items that are not deductible include membership in any club organized for business, pleasure, recreation, or other social purposes. The purposes and activities of a club, not its name, will determine whether or not you can deduct the dues. You cannot deduct dues paid to country clubs, golf clubs, airline clubs, hotel clubs, or clubs operated to provide meals under circumstances that might otherwise be considered to be conducive to business discussions.
To ensure that your qualified meal and entertainment expenses are deductible, you will need to have excellent documentation. Please contact your Tax Coach for more specifics about which documentation is required for meals and entertainment.
